Oral Presentation Information

Presentation Length

Oral Presentations are to be 15 minutes in length. Presenters are expected to follow the time limits and in cases where there is more than one author presenting the abstract, all speakers are required to present within the established 15 minute presentation time. Room monitors will be in the session rooms to ensure sessions are running on time. Time for Q&A with the audience will allowed at the end of each session, not after individual presentations. Presentation slides should not include any slides requesting Q&A from the audience. 

Presentation Files

It is expected that you will prepare a PowerPoint presentation with visuals to support your presentation. All session room screens will be in 16:9 format so your .ppt file should be set appropriately to 16:9 dimensions. Videos files MUST be embedded into your .ppt (PowerPoint) file. The maximum file size for your presentation is 150 MB. Macintosh presentations (i.e. Keynote) cannot be accommodated, unless saved to a PC-formatted USB stick.

Onsite Presentation Upload

You are requested to submit your presentation (on your USB-removable drive) at least 15 minutes before the start of the session to the AV technician in the session room. 

Presenters will be able to check their slides in advance, in Meeting Room 4, on the meeting room level (second floor) of the Vancouver Convention Centre (East Building). The opening hours will be:

  • Saturday, June 15, 08:00 – 17:30
  • Sunday, June 16, 08:00 – 17:00
  • Monday, June 17, 08:00 – 17:30

Poster Presentation Information

Poster Size and Printing

Authors with poster presentations should bring a paper copy of their poster with a maximum size of 45” (wide) x 40” (high) – landscape format. Push pins will be provided in the Exhibit Hall to set-up posters. Poster number(s) will be displayed on your poster board.

Please note the conference will not be offering an onsite poster printing service. If you require local poster printing, you may contact:

If you print your poster with The Printing House, it will be delivered to the congress venue for pick up at the registration desk during the following hours:

  • Saturday, June 15, 08:00 – 17:30
  • Sunday, June 16, 08:00 – 11:00

A credit card will be required when placing your order with The Printing House. Posters will not be released for delivery to the congress venue unless credit card details have been provided. The deadline to place your order with The Printing House is Wednesday June 12th.

Poster Viewing Session Times & Location

Posters boards will be located in the Exhibition Hall – Hall B of the Vancouver Convention Centre (East Building).

Posters will be on display for the duration of the congress. Dedicated poster viewing sessions, during which presenters are required to be present at their posters, will take place at the following times:

  • Sunday, June 16th, 12:45 – 14:15
  • Monday, June 17th, 13:15 – 14:30

To ensure a smooth viewing experience, posters may only be setup and removed during the following times:

  • Set up: Sunday June 16, 08:00 – 11:00
  • Take down: Monday, June 17, 16:15 – 18:30

*Please note posters not taken down by 18:30 will be discarded by management.
